Shift planning

The Shift planning screen shows monthly or weekly assignments, quick or bulk edits, and exports. Labels in the app follow your UI language; this page uses English strings from the product where available.

1. Opening the screen and permissions

  1. Menu: shift planning group → Shift planning (URL often /ShiftPlanning).
  2. No-access page means missing role—contact an administrator.
  3. View assigned only users usually lack Settings and Popuni (fill forward).
  4. Office-scoped users need an office assigned or they see a configuration error.

2. Monthly vs weekly view

  1. Toggle Weekly shift planning / Monthly shift planning.
  2. Monthly: pick year and month.
  3. Weekly: < / > navigation.
  4. Mobile: pick a single date.

3. Filters and breaks

  1. Show filters / Hide filters.
  2. Include breaks into working hours then Search.
  3. Multi-selects: offices, departments, employees, managers, shifts, offices with assigned shifts.
  4. Search reloads; Clear resets.

4. Settings

Gear button opens company hour-bucket rules (From/To hour, name, abbreviation, formula, absences).

  1. Edit only when you understand payroll impact.
  2. Use in-dialog formula help.

5. Grid and legend

  1. Employee column with checkboxes.
  2. Shift chips; + … More or mobile Shift list.
  3. Copy shift code icon.
  4. Upper cell: shift; lower: absence/event.
  5. Robot icon: automated weekly plan.
  6. Weekend styling.
  7. Totals: Total Shifts Assigned, per office, Office not select.

6. Locked days

  1. Padlock in day header: locked blocks edits.
  2. Click toggles when permitted.
  3. Month lock/unlock via Select additional actions for admins.

7. Fast input vs click

  1. Fast Input: type shift code.
  2. Otherwise click to add; chip menu add/edit/delete.
  3. Comment-required shifts via plus/edit flow.
  4. Delete confirms.

8. Mass actions

Hint when disabled: Select employee(s) to apply mass action.

  1. Assign Shift, Assign Event, Assign weekly plan (needs ≥1 employee), Remove all by shift type, Remove Event.

9. Fill forward

  1. The fill-forward control opens a dialog that extends or copies shifts per product rules; the grid refreshes after success. (In the Bosnian UI the button may read Popuni.)

10. Hours columns

13. Monthly shift plan approval (direct managers)

In Monthly shift planning, direct line managers can record that the shift schedule for the loaded calendar month is confirmed for each of their reports. This supports organisations that need a hierarchy-based sign-off before payroll export, timesheet lock, or other downstream steps.

  1. Switch to Monthly shift planning and load the correct year and month.
  2. Beside an eligible employee name: use month Approve / Revoke when the product shows them (role and rules apply). Status is shown in the grid when approved.
  3. Bulk: tick employees, open Select additional actions, choose the monthly approve or revoke action. Only your direct reports are processed; if you included others, the dialog lists them by reason (for example not their direct manager). A comment in the dialog is optional.
